Is Intuit Assist safe for confidential data?

Intuit Assist is reasonably safe by contract but hard to govern by choice: it ships enabled inside QuickBooks Online, so client financial data flows through Intuit's GenOS AI stack as a default of the platform rather than a decision your firm made. Intuit states customer data stays within its apps and is not used to train third-party foundation models, and its multi-year OpenAI partnership (announced 2025) is framed around those same commitments — but Intuit does not publish a simple firm-level switch to disable Assist per client, so an accounting firm's real exposure is governance, not training. Intuit's own 2024 survey of 2,000 US accountants found data privacy and security (31%) was the profession's top AI concern, ahead of accuracy. Treat Assist as a feature you document in your WISP and client engagement letters, not one you can quietly ignore.

Risk by plan

The same product often carries very different terms depending on the tier — consumer plans are where the exposure concentrates.

QuickBooks Online (all plans)
Conditional

Assist is included and on by default; data is not used to train external foundation models but does power Intuit's own AI platform. No published per-client opt-out for firms.

QuickBooks Online Accountant
Conditional

Same data posture as client subscriptions; agentic AI features (Accounting Agent, Payments Agent, and similar) operate across the books your firm manages.

Data handling

Training on inputs

Intuit states customer data stays within Intuit apps and is not used to train third-party foundation models; it is used inside Intuit's own GenOS platform to power and personalize AI experiences. There is no separate consumer-versus-enterprise split — the same posture applies to all QuickBooks Online plans.

Retention

Data entered in QuickBooks is retained under the standard QuickBooks Online terms and Intuit's privacy statement; Intuit does not publish AI-specific retention windows for Assist interactions — confirm with your account team.

Residency

Intuit does not publish customer-selectable data residency for QuickBooks Online AI features; Canadian firms subject to PIPEDA should confirm processing locations in Intuit's privacy documentation before relying on residency assumptions.

Compliance

Frequently asked questions

Is Intuit Assist safe for client financial data?

Contractually, the posture is decent: Intuit says customer data stays within its apps and is not used to train third-party foundation models, including under its OpenAI partnership. The practical risk is that Assist is on by default across QuickBooks Online, so client data participates in Intuit's AI stack whether or not your firm evaluated it. Document it in your data-security plan the way IRS Publication 4557 expects for any system touching taxpayer data.

Does QuickBooks use my data to train AI?

Intuit states customer data is not used to train external foundation models and stays inside Intuit's platform. It is, however, used by Intuit's own GenOS to generate and personalize AI outputs. That distinction matters: your clients' data is not leaking into public models, but it is being processed by AI as a standard feature of the product.

Can I turn off Intuit Assist for my clients?

Intuit does not publish a firm-level control to disable Assist per client file, and its 2024 survey found 31% of accountants rank AI data privacy as their top concern — a concern the default-on design does little to address. Since you cannot easily opt out, govern instead: disclose AI processing in engagement letters, and remember that staff who find embedded AI limiting often paste the same client data into unsanctioned personal chatbots, which is the bigger exposure.
